IntroductionIn some cases, the management can set up Flexi schedule to capture 1 -pair of record (in and out only) under Ingress & TCMS V3 software, so the system only captures the first in and last out. However what happens if the employee wrongfully or mistakenly reports their attendance more than twice? Let us see the result below.
Note:
Please be informed that the below configurations are done on Ingress software, as shown in the accompanying images. However, this can also be applied in TCMSV3 to achieve comparable results, as the configuration is similar with only a slight difference in the interface.
Setting up Flexi schedule with 1 number of in-out clocking pair
On 12th of January 2015, the employee’s report attendance is as below:
9:00am | 12:00pm
The result is that the clocking will fall into the “In” and “Out” slot. The software will calculate total work hours as 3 hours (from 9:00am to 12:00pm).
On 13th of January 2015, he reports his attendance 3 times within one day:
9:00am | 12:00pm | 2:00pm
The third clocking will fall into the “OT” slot. However the software will still calculate work time as 3 hours (from 9:00am to 12:00pm), ignoring the previous 2:00pm record.
On 14th January 2015, the same employee reports his attendance 4 times within one day:
9:00am | 10:00am | 11:00am | 12:00pm
And now the software captures 1 hour of work time (from 9:00am to 10:00am) and 1 hour as OT (from 11:00am to 12:00pm).
On 15th of January 2015, the same user clocks in 5 times within one day:
9:00am | 10:00am | 11:00am | 12:00pm | 2:00pm
Software does not capture the 2:00pm timeslot into the Done column, but instead it keeps the 12:00pm timeslot as the Done record. Software still captures 1 hour of work time (from 9:00am to 10:00pm) and 1 hour as OT (from 11:00am to 12:00pm).
You can check the result of the above test in the image below.
The software captures the “next 2 records” as overtime if you set it to 1-pair clocking under Flexi Schedule. Thus it is important to advise your customer so they can set the software accordingly. It is also recommended that the administrator should advise the employees so they follow the rules to avoid any incorrect attendance verification.
Update from June 2017:
Alternatively, if the company only requires the first and last clocking performed by employees to be shown in the attendance sheet, there is now a new option available in both Ingress and TCMS V3 as explained below.
New option in Flexi Clocking Schedule - “Capture the first and last records as attendance”
Ingress Software Update (v3.0.7.18) – September 2016
TCMS V3 Software Update (v2.0.2.8) – November 2016
We introduced a new option in Flexi Schedule known as “Capture the first and last records as attendance” that allows Ingress / TCMS V3 to capture only the first and last verification and ignore any verification performed in between by users. When you tick this option, the software will only show the first and the last clocking times in the In and Out columns.
For example, if a staff clocks in at 9:59am and then he goes out 11:55am, the 11:55am will now become his Out time. When he comes back at 1:30pm, this new time will be recorded as his latest Out time, and the cycle continues. If you do not want to deal with cluttered attendance data, and you only require the In and Out times to be shown in attendance sheet, you should consider to enable this option.
Once this option has been selected, the next 3 options below it is no longer relevant and thus will be automatically disabled and dimmed in the software.
