How to Void a Transaction

Introduction

1. Generally, only users assigned as i-Account System Administrator role will be able to void a selected transaction in the system (e.g., invoice, receipt, payment, journal entry).




2. Additionally, for batch invoices generated through the Batch Invoice, SCI Batch Invoice and Late Payment Interest, the entire batch can be voided by a user assigned as Accounts Receivable role. Batch invoices can only be voided if the batch has not been uploaded to i-Neighbour.

3.  Refer to the steps below for voiding transactions.

 

Process

A. Check the Transaction ID 

1.        Before voiding, check the transaction ID. Go to Banking and General Ledger > Inquiries > Journal Inquiry.

  


2.        Search for the transaction with the following steps:

  1. Enter the transaction Reference.
  2.  Select the appropriate transaction Type. For instance, Supplier Invoice.
  3. Select the date range.
  4. Tick Show closed checkbox.
  5. Click on search button.

 

3.        Once the transaction appears in the listing, refer to the transaction ID (Trans #). For example, in the image below, the transaction ID is 115.


 

B. Void Transaction 

1.        Next, go to Setup > Maintenance > Void a Transaction.


2.       Select the Transaction Type from the menu. For example, Supplier Invoice.

 


3.       Enter the transaction ID in the box for from # and to #. In the example, below, transaction ID is 115. Click on the search button.

 

4.       Click on the Select (pencil) icon to select this transaction for voiding.

 

5.       The selected transaction ID will be displayed at Transaction # below.

 

6.       Enter a Memo if required (optional). Click on the Void Transaction button.


7.       Click on the Proceed button to confirm voiding.

 

8.       A success message will be displayed once the transaction has been voided.

 

9.       You can view the voided transaction at Setup > Maintenance > Voided Transaction page.
