How to set Multiple Shift per Day for Double-Shift Worker

Introduction


Some F&B companies like fast food chains or 24-hour marts are operating 24/7 per week and they usually require work on shift basis for their employees. The settings for a fixed schedule shift is straightforward, but how about employees that need to do double shifts for a day? Customizing duty roster only allows 1 selection of schedule per day, and for double shifts we need to create a new Roster that allows for multiple shifts. So in this article, we will be explaining the function of multiple shift roster and how to apply it. 


Requirements


To apply this type of Schedule settings, you need to have the following criteria:

  • More than 1 working shift.

  • Employees that are doing multiple shifts per day

  • Employee awareness to clock in between shifts


Case Study


For example, a food chain store operates 24-hour a day, and their staff are required to work based on shifts that consist of 6 hours.

Shift 1 - 6am to 12pm

Shift 2 - 12pm to 6pm

Shift 3 - 6pm to 12am

Shift 4 - 12am to 6am


Staff A is unable to attend for his shift today, and his colleague (Staff B) need to replace his shift for today. So Staff B needs to do a double shift, and he needs to clock in and clock out for both shifts. If previously Staff B are using a single shift roster, the clocking for 2nd shift will not show on the attendance.


First we need to create a new roster that allows multiple shifts, and assign Staff B to that new Roster. Then if the clocking has already been done, just generate attendance to reflect the changes made.


Process


Step 1 – Configure a shift schedule using Daily schedule type. (Schedule tab > Clocking schedule > Add schedule)



You can set the No of Shift to a maximum of 3 if you want to create multiple Daily Schedules at a time. Input the Description and Working Time for all shifts. To proceed, scroll down and click on Preview button to preview the schedule first, then you will have an option to Save it.



Step 2 – Create a new Duty Roster. (Schedule tab > Assign Schedules and User into Roster)



Click on + button to create a new Roster. Then input the Roster No and Description as it is compulsory. Next, select Group Type as Shift and the Roster will pop up a selection of Shifts/day and you can select to a maximum of 3. In this case, we just Select 2 Shifts/day.


Next click on the Auto button at the bottom left of the page to set the schedule no. The No. on the left indicates the days for a month. 


E.g If you wish to set Restday on each Sunday, you need to set the No 1 row as Restday and row 2-7 as Workday, because the common setting of the system is to set the 1st day of the week as Sunday. 


If you set No 1-7, it will reflect as a week (7 days) and repeat continuously until the end of the year. 



For this case study, the restaurant doesn't have a closed day so we set only row 1 and it will apply to all day. 





Step 3 – Assign User into Roster (Schedule tab > Assign Schedules and User into Roster)


Choose the Roster that you have just created, and click on + button to add users into the roster. 




Step 4 – Customize User Duty Roster (Schedule tab > Customize User Duty Roster)


Filter by user and date, then click on the date that the user is doing double shifts. It will show up as the image below: 




Select the schedule no for shift 2, e.g In this case we select night shift (Schedule 11) and then Click Save & Generate



The user attendance will appear like this if they have a double shift schedule for a day. 



On their attendance, it will show 2 timing for both shifts. Example are like this:



If the staff have another double shift in the future, Admin just needs to customize their duty roster and add the schedule no on Shift 2 section. Then their clocking will appear on attendance as usual.
