How to Invite Visitors using TimeTec VMS Web Portal

Introduction
In TimeTec VMS, an Employee (Host) can invite their visitor for hassle-free registration during the day of the visit. The invited visitors will be given a link to proceed with self-registration before their visit. Upon successful registration, they will be given a QR Code that they must present on arrival to check-in. In addition, they will use the same QR code to unlock the access to the door during entering and exiting the visiting area if applicable. 
This article will explain the required steps for users to invite visitors using the TimeTec VMS web portal.

Process
1. From the Staff account, in the dashboard, click on New Invitation.


2. Select Visitation Details such as Meeting, Contractor, or Others, One time or Multi In-Out visiting type. Then, proceed to Expected Arrival and Expected Departure Dates for Multi In-Out type, continue with Meeting Location, and insert visitor’s details such as IC no, name and car plate number before clicking on Invite to proceed.


3. Once submitted, you can send the invitation link to visitors through email. Insert visitor’s email address under the Send via Email section and then click on Send. Alternatively, you may also copy the invitation link to be sent via other platforms (Email, Skype, WhatsApp, etc.)


4. When visitors receive the invitation link, they need to verify and fill up details to register. Once successful, they will receive a QR code to be used during their visit.
